This Privacy Policy describes how Endlessforms LLC, a Texas limited liability company
operating the Vett platform (collectively "Vett," "we," "us," or "our"), collects, uses,
and shares information when you use the platform at vett4fit.com and related
services (the "Platform").
1. Who This Policy Applies To
This policy applies to two distinct groups:
- Recruiters who create accounts on Vett to source, evaluate, and contact job candidates.
- Candidates whose information appears on the Platform — either because a recruiter added them, or because the candidate submitted information through a Vett-hosted apply portal or resume-upload link.
2. Information We Collect
From recruiters:
- Account information: name, email, phone, organization, password hash.
- Billing information processed by Stripe (we do not store full card numbers).
- Connected accounts (Google, Microsoft): OAuth tokens for calendar and email sending, used only on your behalf.
- Usage telemetry: features used, API calls, session timestamps.
From candidates (provided by the candidate or sourced by a recruiter):
- Identity: name, email address, mobile phone number, location.
- Professional history: resume content, work experience, education, skills, LinkedIn URL.
- Answers submitted through apply-portal forms or resume-upload requests.
- Sponsorship and citizenship-status disclosures the candidate provides.
- SMS opt-out status if the candidate replies STOP.
Automatically:
- IP address, browser type, device identifiers, pages visited.
- Cookies used for authentication and session continuity.
3. How We Use Information
- Operate the Platform: authentication, candidate ranking, pipeline management, scheduling.
- Send transactional emails and SMS on behalf of the recruiter (outreach, replies, application confirmations).
- Provide AI-assisted features such as candidate ranking, outreach personalization, and resume parsing using third-party AI providers (see Section 5).
- Process payments through Stripe.
- Investigate abuse, comply with legal obligations, and protect the security of the Platform.
4. How We Share Information
We share information only as needed to operate the Platform:
- With the recruiter's organization. Candidates added by a recruiter are visible to other authorized members of that recruiter's organization.
- With the recruiter's clients, when a recruiter explicitly shares a shortlist link or submits a candidate to a client.
- With service providers (subprocessors) who help us run the Platform under written data-processing agreements: Amazon Web Services (hosting, storage), Stripe (payments), Anthropic (AI/LLM processing), Twilio (SMS delivery and phone lookup), Resend and Amazon SES (email delivery), Apollo.io (phone-number reveal), Firecrawl (web search), RapidAPI providers (public-profile enrichment), People Data Labs (enrichment), Langfuse (observability).
- When required by law, in response to subpoenas, court orders, or to protect rights and safety.
We do not sell personal information. We do not share mobile phone
numbers or SMS opt-in data with third parties for their own marketing purposes.
5. AI and Automated Processing
Vett uses third-party large language models (currently Anthropic Claude) to perform tasks
such as ranking candidates against a job description, summarizing resumes, and drafting
outreach messages. The recruiter remains responsible for all hiring decisions; AI outputs are
advisory and may contain errors. We do not permit AI providers to train their models on your
data per our agreements with them.
6. Data Retention
- Recruiter account data is retained for the life of the account and for up to 90 days after account deletion to allow recovery.
- Candidate records are retained while the recruiter's account is active. Recruiters can delete a candidate at any time.
- Outreach message history (email, SMS) is retained for two years for compliance and dispute resolution.
- SMS opt-out records are retained indefinitely to honor opt-outs across re-engagements.
7. SMS / Text Messaging Disclosures
The following section applies to all SMS communications sent through the Vett platform and
is provided in compliance with mobile-carrier (CTIA) and TCPA guidance.
- Mobile information will not be shared with third parties or affiliates for
marketing or promotional purposes. All mobile-number data we receive is used solely
to enable recruiter-to-candidate communication on the Platform. We do not sell, rent, or
otherwise transfer mobile numbers or SMS consent records to any third party for that third
party's independent marketing.
- Message frequency. A candidate may receive between 1 and 10 messages
from a recruiter as part of an outreach sequence, plus any additional conversational replies
the recruiter sends. Message frequency varies by recruiter and by the candidate's stage in
the recruiting pipeline.
- Message and data rates may apply. Standard message and data rates from
your wireless carrier apply to any messages you receive or send. Vett does not charge
candidates for SMS messages.
- How to opt out. Reply
STOP to any message to immediately
stop receiving SMS from the sender and from any other recruiter on the Platform texting from
the same number. Reply HELP for help, or contact us at
info@theendlessforms.com. Opt-outs are honored
on the next message; previously queued messages may still be delivered for up to 5 minutes.
- Supported carriers. Messaging is supported on all major US wireless
carriers. Carriers are not liable for delayed or undelivered messages.
8. Your Rights and Choices
Depending on where you live, you may have the following rights:
- Access: request a copy of the information we hold about you.
- Correction: ask us to fix inaccurate information.
- Deletion: request that we delete your information, subject to legal retention requirements.
- Opt-out of SMS: reply STOP to any text message.
- California residents (CCPA/CPRA): you have the right to know, delete, correct, and opt out of "sale" or "sharing" of personal information. We do not sell personal information.
To exercise these rights, email
info@theendlessforms.com. If you are a candidate
and a recruiter added you to the Platform, you may also ask the recruiter directly to delete
your record.
9. Children
The Platform is not directed to children under 16, and we do not knowingly collect
information from children under 16.
10. International Users
Vett is operated from the United States. By using the Platform, you understand that your
information will be processed in the United States, which may have different data-protection
laws than your country of residence.
11. Security
We use industry-standard technical and organizational measures, including encryption in
transit, encryption at rest for sensitive data, access controls, and logging. No system is
perfectly secure; you use the Platform at your own risk.
12. Changes to This Policy
We may update this policy from time to time. We will update the "Effective Date" above and,
for material changes, notify recruiters by email. Continued use of the Platform after a change
constitutes acceptance.
